TERMS AND CONDITIONS

OF CARRIAGE

(”Terms and Conditions”)

1. Customs, Exports and Imports

DHL may perform any of the following activities on Shipper’s behalf in order to provide its services to Shipper: (1) complete any documents, amend product or service codes, and pay any duties or taxes required under applicable laws and regulations, (2) act as Shipper’s forwarding agent for customs and export control purposes and as Receiver solely for the purpose of designating a customs broker to perform customs clearance and entry and (3) redirect the Shipment to Receiver’s import broker or other address upon request by any person who DHL believes in its reasonable opinion to be authorised.

IMPORTANT NOTICE

When ordering DHL’s services you, as ”Shipper”, are agreeing, on your behalf and on behalf of anyone else with an interest in the Shipment, that the Terms and Conditions shall apply from the time that DHL accepts the Shipment unless otherwise agreed in writing by an authorised officer of DHL. Your statutory rights and entitlements under any defined service feature (for which additional payment has been made) are not affected.

”Shipment” means all documents or parcels that travel under one waybill and which may be carried by any means DHL chooses, including air, road or any other carrier. A ”waybill” shall include any label produced by DHL automated systems, air waybill, or consignment note and shall incorporate these Terms and Conditions. Every Shipment is transported on a limited liability basis as provided herein. If Shipper requires greater protection, then insurance may be arranged at an additional cost. (Please see below for further information). ”DHL” means any member of the DHL Express Network.

9. Delayed Shipments

DHL will make every reasonable effort to deliver the Shipment accor- ding to DHL’s regular delivery schedules, but these are not guaranteed and do not form part of the contract. DHL is not liable for any damages or loss caused by delays.

10. Circumstances beyond DHL’s control

DHL is not liable for any loss or damage arising out of circumstances beyond DHL’s control. These include but are not limited to: -”Act of God”- e.g. earthquake, cyclone, storm, flood, fog; ”Force Majeure” - e.g. war, plane crash or embargo; any defect or characteristic related to the nature of the Shipment, even if known to DHL; riot or civil commotion; any act or omission by a person not employed or contracted by DHL e.g. Shipper, Receiver, third party, customs or other government official; industrial action; and electrical or magnetic damage to, or erasure of, electronic or photographic images, data or recordings.

Shipments to addresses with a central receiving area will be delivered to that area. If Receiver refuses delivery or to pay for delivery, or the Shipment is deemed to be unacceptable, or it has been undervalued for customs purposes, or Receiver cannot be reasonably identified or located, DHL shall use reasonable efforts to return the Shipment to Shipper at Shipper’s cost, failing which the Shipment may be released, disposed of or sold by DHL without incurring any liability whatsoever to Shipper or anyone else, with the proceeds applied against service charges and related administrative costs and the balance of the proceeds of a sale to be returned to Shipper.

Your Questions, Answered

What is a DHL Waybill form?

The DHL Waybill form serves as a shipping document that accompanies packages sent via DHL. It contains essential information about the shipment, including details about the sender (shipper) and recipient (receiver), shipment contents, payment options, and service types. This form is necessary for tracking and managing the shipment throughout its journey.

How do I fill out the DHL Waybill form?

To complete the DHL Waybill form, follow these steps:

  1. Provide the sender's details, including name, address, and contact information.
  2. Fill in the recipient's information, ensuring that the delivery address is accurate and complete. Note that DHL cannot deliver to PO Boxes.
  3. List the shipment details, including the total number of packages, weight, and dimensions.
  4. Include a full description of the contents, as this is required for customs purposes.
  5. Indicate the payment method and any applicable insurance options.
  6. Sign the form to agree to DHL’s Terms and Conditions.

It is important to ensure that all information is accurate to avoid delays or issues with the shipment.

What payment options are available on the DHL Waybill form?

The DHL Waybill form offers several payment options, which may vary by country. Common payment methods include:

  • Shipper's account number
  • Receiver's account number
  • Third-party account number
  • Cash
  • Cheque
  • Credit card

It is advisable to check with DHL for specific payment options available in your country, as not all methods may be applicable in every location.

What should I do if my shipment is delayed?

If a shipment is delayed, it is recommended to track the shipment using the DHL website or contact the local DHL office for assistance. While DHL strives to deliver packages according to their schedules, delays can occur due to various factors, including weather conditions or customs clearance. Keep in mind that DHL is not liable for damages or losses caused by delays, as outlined in their Terms and Conditions.

Common mistakes

  1. Failing to provide a complete address for the receiver. This includes not including the street address, city, or postal code, which can delay delivery.

  2. Not indicating the correct payer account number. This can lead to billing issues and may cause the shipment to be held up.

  3. Leaving the insurance details section blank. Not specifying whether insurance is required may result in insufficient coverage for valuable items.

  4. Neglecting to provide contact information for both the shipper and receiver. This information is crucial for any necessary communication regarding the shipment.

  5. Overlooking the need for a full description of contents. Providing vague or incomplete descriptions can lead to customs delays or issues.

  6. Not signing the shipper's agreement. This signature is essential to acknowledge the terms and conditions of the shipment.

  7. Using a PO Box as the delivery address. DHL requires a physical address for delivery, and using a PO Box can result in undeliverable shipments.

Documents used along the form

When shipping items with DHL, the Waybill form is just one of several important documents you may need. Here’s a list of other common forms and documents that often accompany the DHL Waybill to ensure smooth processing and delivery.

  • Commercial Invoice: This document details the goods being shipped, their value, and the terms of sale. It is essential for customs clearance and may include information about the buyer and seller.
  • Proforma Invoice: Similar to a commercial invoice, this is a preliminary bill of sale sent to buyers in advance of a shipment. It outlines the expected costs and is often used for customs purposes.
  • Export Declaration: Required by the U.S. government, this form provides information about the shipment for export control purposes. It helps track the movement of goods and ensures compliance with regulations.
  • Customs Declaration Form: This form is necessary for international shipments. It declares the contents and value of the shipment to customs authorities and ensures that all duties and taxes are accounted for.
  • Certificate of Origin: This document certifies the country in which the goods were produced. It may be required for certain products to qualify for preferential tariff treatment.
  • Dangerous Goods Declaration: If your shipment contains hazardous materials, this declaration is mandatory. It provides details about the nature of the goods and ensures they are handled safely during transport.
  • Shipper’s Letter of Instruction: This letter provides specific instructions for the carrier regarding the shipment. It can include details about delivery, handling, and any special requirements.
